Job Description

Purpose of the Position

The Area Equipment Chair works in partnership with the Area Service Committee (ASC) to provide comprehensive support for the physical equipment needs of all members. The role serves as a central point of coordination for the tools required to facilitate Area events, ensuring that literature sales, committee meetings, and presentations have the necessary technical infrastructure. While the Chair does not need to be an expert in every piece of hardware, they must possess a willingness to uncover the specific needs of each committee member and the initiative to investigate or delegate the best solutions for those needs.

The position is responsible for the full lifecycle of Area equipment—from pre-event preparation and volunteer coordination to post-event inventory and maintenance. By acting as a liaison between the Audio/Visual (A/V) team and the ASC, the Equipment Chair ensures that all gear is accounted for, functional, and ready for service. This oversight allows the Area to maintain its assets responsibly while ensuring that technology serves as an effective vehicle for the Area’s primary purpose.

Primary Responsibilities & Tasks

Event Readiness & Logistics

  • Ensure all laptops are fully charged in advance of each Area event.
  • Update all Square terminals used for literature and Grapevine sales prior to events.
  • Rent portable Wi-Fi hubs as required.
  • Ensure power bars and extension cords are properly located under ASC, literature, and Grapevine tables.
  • Organize the rental, pickup, and return of additional equipment from vendors like Long & McQuade when necessary.

Leadership & Volunteer Coordination

  • Identify and train an alternate lead to ensure coverage and continuity for the equipment team.
  • Conduct a debrief with the A/V team and the Area Chair within two weeks of an event to identify successes and resolve problems.

Inventory & Maintenance

  • Perform a full inventory of each A/V kit after every event to ensure contents match the internal inventory sheet.
  • Date and sign inventory sheets and secure kit lids with tape to verify the kit is complete for future use.
  • Maintain and replenish essential supplies such as batteries, projector bulbs, and gaffer tape.
  • Ensure all equipment is clearly labeled as Area property and monitor the status of borrowed items.
  • Protect equipment during storage by removing batteries to prevent corrosion or damage.
  • Research replacement or repair options for equipment and present financial results to the Finance Committee for approval.
